Operations Officer| 23 Months (Outside IR35)| Onsite (Edinburgh)
Harvey Nash’s client is recruiting for an Operations Officer on a 23 month contract.
Main Responsibilities
- Ensure the Hearings Suite and all related equipment are always ready for use, including hearing loops, anonymity screens, and specialised seating arrangements.
- Manage the audio-visual and document display systems in the Hearing Room during public hearings, addressing basic technical issues and coordinating with the service provider when necessary.
- Handle reception duties, including welcoming external visitors.
- Administer web-based meetings via WebEx, resolving basic technical issues.
- Set up IT hardware at workstations and assist colleagues with IT equipment.
- Keep a log of any issues encountered.
- Handle incoming and outgoing mail
- Ensure meeting rooms and their amenities are always ready for use.
- Maintain office equipment, ensuring it is operational.
- Serve as a Macer to cover for sickness and annual leave when needed.
- Assist in reviewing and, if applicable, developing and implementing standard operating procedures (SOPs) to establish clear control measures in line with business needs.
- Support Health & Safety activities, collaborating with the building management team/landlord as needed to ensure compliance with regulations, under the direction of the Operations management team.
- Assist the Operations Team Leader in monitoring sub-contractor performance, tracking Service Level Agreements (SLAs), and providing feedback through appropriate systems and reports.
Key Skills
- Excellent customer services skills, with a proven background in facilities services or front of house services
- Experience working with internal and external stakeholders at all levels including senior management
- Excellent administrative skills
- Excellent working knowledge, application and experience of Microsoft 365
- Positive, can-do attitude, to deliver high levels of service
- Experience carrying out or supporting Health & Safety audits/inspections
- Excellent interpersonal and communication skills
- Strong problem-solving skills with ability to work autonomously and with a flair for continuous improvement
- Proven experience of working under pressure and to tight timelines
- Personal resilience and the ability to deal with what can be distressing subject matter
- Proven ability to prioritise own workload
- Flexibility in working hours to meet business needs
