Junior PMO - Project Financials
A Leading Financial Services business are looking to hire a Junior PMO who will be focused on the project financials and ideally have some exposure to Change related projects.
- £250- £320 per day (Inside IR35/Umbrella or PAYE only)
- The role is an initial 6 month contract with scope to roll into a couple of years
- The role is a Hybrid working (3 days a week in the office, 2 from home)
- Based in London
The Role
Reporting to the Head of EMEA PMO and Business Management, you will be responsible for performing a combination of governance & financial administrative duties across the portfolio of projects that your 'IT Lead' has overall delivery responsibility for. The portfolio and its underlying projects will vary over time in terms of structure, complexity, and size, and is likely to be diverse with a cross-functional reach. You will be expected to work with a range of PM's & Senior Stakeholders, promoting best practice across core central process (see duties and responsibilities) that drive financial reporting across both the Capex and Genex project cost base.
This role will have a matrix reporting line into the 'IT Lead' who holds the overall responsibility for delivery team & projects that you will be supporting.
Duties and Responsibilities
Financial Administration: perform day-to-day oversight and administrative duties that preserves strong data governance across core processes that capture workforce costs and enable accurate financial management and reporting across the portfolio of projects that you will support, duties include:
- Financial Planning: supporting your IT Leads through the annual planning and half yearly forecast process, collating demand in line with budget planning protocols and timelines.
- Portfolio Finance: maintain financial data to track against budgets, working closely with your IT Finance partner and PMO Governance peers to review month on month trends, resolve mis-bookings and highlight any negative trends (actuals vs. budget)
- Hiring Governance: co-ordination of resource demand through the relevant governance process, onboarding new resources (raising IDMs) and tracking SOW renewals. Ensuring leavers are offboarded in timely manner.
- Procurement Support and Control: ensuring requisitions are raised on time and in line with the procurement operating model and control points that are directly linked to third-party financial commitments.
- Time Tracking Support and Control: maintenance of project and people related static (project server plans) that underpins the universal time tracking tool, oversight of the time entry and timesheet approval processes as well as any time related adjustments required to realign mismatches associated with the project team/resources that you support.
Portfolio Governance and Reporting: provide oversight and administrative duties across the projects that underpin the portfolio that you support, duties include:
- Project Governance - Responsible for the central RAID, oversee the production of project status reports, critically challenging project RAG and status in line with project governance guidelines. Ensuring Ringi workflows and relevant governance documentation is raised and submitted on time, this includes project initiation documents (PIDs) and drawdown requests. Support project prioritisation reviews.
- Resource Management - Monthly assessment of Project FTE demand and plan allocation of work in advance.
- Meeting Support & Coordination: - support the production of SteerCo and/or PWG PowerPoint decks, cover minute taking, provide a query handling service to key stakeholders and project managers. Maintaining a transparent calendar of key meetings, events, reminders that are associated with your project team's deliverables.
- Quality Assurance & Repository Management - ensuring tools and templates are in place and utilised, repository sites (SharePoint, Confluence) are kept up to date with the latest artefacts, promoting good housekeeping and audit control.
- Benefits Management & Realisation: - ensuring the process of identifying and quantifying, project benefits are adequately tracked and documented.
Qualifications, Skills and Experience
- Deep understanding of key disciplines and methodologies within a typical PMO and Business Mgmt. infrastructure
- Evidence of supporting and driving a combination of project governance and financial administrative processes within an IT environment, ideally in an investment banking or financial services sector.
- Experience with supporting a medium to large sized fast-paced project delivery team, under a matrix-managed global company.
- Previous experience supporting annual budget planning/forecasts process.
- Numerical mindset with proven record of tracking budgets/spend and managing variances to resolution.
- Strong communication and interpersonal skills with a collaborative mindset.
- Excellent organizational and presentation skills
- Analytical thinker with strong problem-solving skills, comfortable working amongst complex data sets, challenging and reporting data related anomalies.
- Precise attention to detail and accuracy
- Experience of prioritizing work to meet tight deadlines.
- Adaptability to changing requirements and technologies.
- Competent in MS Excel (Pivot tables, VLOOKUP)
- Proficiency in other Microsoft Office Products, particularly PowerPoint, MS Word, MS Visio and MS Project
- Knowledge of JIRA, Confluence, SharePoint or equivalent tools
